1. Introduction
Voice2Jobs ("we," "our," or "the Company") is committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, store, and share your data when you use the Voice2Jobs platform, including our AI-powered quoting tools, mobile applications, and related services.
2. Data We Collect
We collect the following categories of data to provide and improve our services:
- Voice Recordings: Audio captured through the app for transcription and quote generation.
- PDFs & Blueprints: Documents uploaded for analysis, including architectural drawings and project specifications.
- GPS Metadata: Location data associated with job sites and field recordings.
- Payment Information: Billing details processed securely through Stripe for subscription management.
- Usage Analytics: Interaction data, feature usage patterns, and performance metrics to improve the platform.
- Account Information: Name, email address, company details, and role within your organization.
- Client / Customer Information: Details you add about your own clients names, phone numbers, email addresses, and job-site addresses so you can quote, invoice, and message them. For this data you are the controller and Voice2Jobs acts as a processor on your behalf.
- Communications: SMS, WhatsApp, and (where the AI receptionist is enabled) phone-call content and the associated phone numbers exchanged through the platform.
3. AI Processing Disclosure
Voice2Jobs uses AI models to process voice recordings, analyze documents, and generate quotes. AI processing is subject to the following:
- AI services are dependent on Google's infrastructure and subject to uptime and availability.
- AI outputs are generated suggestions and may contain errors. Users must review all AI-generated content before use.
- Processing occurs in real-time and results are stored in your account's private context.
4. AI Training Policy
Voice2Jobs does not use your data to train AI models. Your voice recordings, documents, quotes, and all other user data remain private and are used exclusively within your account's context to provide services to you. No user data is shared with third parties for the purpose of AI model training or improvement.
5. Data Retention
We retain your data for as long as your account is active and as needed to provide the Service. Retention can vary by plan (Free, Solo, Pro, Team, and Enterprise):
- Active accounts: records (quotes, invoices, clients, documents, messages) are kept while your account is active so the Service works as expected.
- Audit Vault (Enterprise): where enabled, records are retained in an immutable Audit Vault for up to 7 years to meet regulatory and compliance requirements.
Upon account termination, we delete your personal data within a reasonable period, except where Audit Vault retention applies or a legal obligation requires us to keep it longer. You can request deletion at any time (see Section 8 and 10).
6. GDPR Compliance (European Union)
For users in the European Economic Area (EEA), we comply with the General Data Protection Regulation (GDPR). Under GDPR, you have the right to:
- Access and receive a copy of your personal data.
- Rectify inaccurate or incomplete personal data.
- Request erasure of your personal data (subject to Audit Vault retention requirements).
- Restrict or object to the processing of your personal data.
- Data portability in a machine-readable format.
- Lodge a complaint with a supervisory authority.
Our legal bases for processing include: performance of a contract, legitimate interests, and consent where applicable.
7. PIPEDA Compliance (Canada)
For users in Canada, we comply with the Personal Information Protection and Electronic Documents Act (PIPEDA). In accordance with PIPEDA:
- We obtain meaningful consent before collecting, using, or disclosing personal information.
- We limit collection to information necessary for identified purposes.
- Personal information is protected by appropriate security safeguards.
- You may request access to your personal information and challenge its accuracy.
- We are transparent about our policies and practices for managing personal information.
8. California Privacy Rights (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively "CCPA/CPRA"), gives you the following rights:
- Right to know / access: the categories and specific pieces of personal information we collect, the sources, the business or commercial purpose, and the categories of third parties with whom we share it.
- Right to delete personal information we hold about you (subject to legal and Audit Vault retention obligations).
- Right to correct inaccurate personal information.
- Right to opt out of "sale" or "sharing" of personal information, including sharing for cross-context behavioral advertising.
- Right to limit the use of sensitive personal information to what is necessary to provide the Service.
- Right to non-discrimination for exercising any of these rights.
Sale and sharing.We do not sell your personal information for monetary consideration, and we do not use it for cross-context behavioral advertising. We do use first-party product-analytics cookies and identifiers (via PostHog) solely to operate, secure, and improve the Service. To the extent any such analytics activity is deemed a "sale" or "sharing" under the CPRA, you may opt out at any time see "Cookies & Analytics" below. We also honor Global Privacy Control (GPC) browser signals as a valid opt-out request.
Categories collected (last 12 months):identifiers (name, email, company), commercial information (subscription/billing via Stripe), audio/visual information (voice recordings, uploaded documents), geolocation (job-site GPS metadata), and internet/usage activity (analytics). We disclose these to the service providers listed in Section 9 for the purposes described in this Policy. To exercise any right, contact us using Section 11; we will verify your request and may allow an authorized agent to act on your behalf.
9. Third-Party Services & Cookies
We use the following third-party services to operate the platform:
- Google (AI Processing & Fonts): AI models (Gemini) for voice transcription, document analysis, and quote generation, and Google Fonts for typography. Used to provide the Service not for advertising.
- PostHog (Product Analytics): First-party product analytics usage, feature interaction, and performance metrics to operate and improve the Service. Analytics traffic is proxied through our own domain. We do not use it for advertising.
- Stripe (Payments & Payouts):Secure payment processing for subscription billing and, where you collect payment from your clients, Stripe Connect payouts. Stripe's privacy policy governs payment data handling.
- Twilio (Messaging): Sending and receiving SMS and WhatsApp messages (e.g. quote/invoice links, reminders, and client conversations) processes phone numbers and message content.
- Vapi / AI receptionist (Voice): Where you enable the AI receptionist, inbound/outbound calls are handled and transcribed processes phone numbers and call content.
- QuickBooks Online (Accounting, optional):If you connect QuickBooks, we sync invoices, payments, and customer records you choose to share. Intuit's privacy policy governs data on their side.
- Supabase (Storage & Authentication): Cloud database and file storage for user data, documents, and application state.
Cookies & Analytics. We use strictly necessary cookies (for sign-in and security) and first-party product-analytics cookies/identifiers (PostHog). We do not use third-party advertising or cross-context behavioral-advertising cookies. You can opt out of analytics at any time by enabling a Global Privacy Control (GPC) signal in your browser, declining non-essential cookies where prompted, or emailing privacy@voice2jobs.com we will honor the request and continue to provide the Service without discrimination.
10. Your Rights
Regardless of your location, you have the following rights regarding your data:
- Access: Request a copy of all personal data we hold about you.
- Deletion: Request deletion of your personal data, subject to Audit Vault retention requirements and legal obligations.
- Portability: Receive your data in a structured, commonly used, and machine-readable format.
